Who we are

Marketing Simplified CRM (the “Service”) is scheduling and pipeline software used by financial advisors and their staff. This policy explains what information the Service collects, how it is used, and the choices available to you.

Information we collect

• Account information. Name and email address, plus a password stored only as a salted hash. We never store passwords in a recoverable form.
• Business records you enter. Leads, contacts, appointments, and related notes created by you or your organization in the course of using the Service.
• Calendar and mailbox access, if you choose to connect an account. We read your availability and appointments, and send email you compose. See “Google user data” below.
• Technical and usage data. IP address, browser type, pages viewed, and error diagnostics, used to operate and secure the Service.

Google user data

If you connect a Google account, the Service requests access to your Google Calendar in order to read your availability and to create, update, and cancel appointments that you or your team book through the Service.

The Service also requests permission to send email on your behalf, so that follow-up messages you write in the Service are sent from your own mailbox rather than from ours. This means your recipients see your address, replies come back to you, and a copy is saved in your Sent folder for your own records.

We request the narrowest scopes that support these features. The sending permission we request is gmail.send, which allows the Service to send a message and nothing else. It cannot read, search, download, or list anything in your mailbox, and we do not request any scope that can. We do not read your incoming mail, and no message content is used for advertising or to train machine-learning models.

Email is only ever sent when you compose it and press send. The Service does not send bulk or marketing mail on your behalf, and it does not email anyone you have not chosen to contact.

Access tokens are stored encrypted and are used only to perform actions you have initiated. You can disconnect a connected account at any time from your account settings, or revoke access directly at Google Account permissions. Revoking access stops all further calendar reads and writes, and stops the Service from being able to send mail on your behalf.

Marketing Simplified CRM’s use and transfer of information received from Google APIs to any other app will adhere to the Google API Services User Data Policy, including the Limited Use requirements.

How we use information

To provide and maintain the Service, authenticate you, schedule and sync appointments, send transactional email such as verification and password-reset messages, secure the Service against abuse, and meet legal obligations. We do not sell personal information, and we do not use Google user data for advertising or to train generalized machine-learning models.

Sharing

Information is shared with service providers who process it on our behalf so the Service can function — hosting, database, email delivery, and product analytics — each bound to use it only for that purpose. Information may also be disclosed where required by law, or in connection with a merger or acquisition. Records you create are visible to authorized members of your own organization.

Retention and deletion

Information is retained for as long as your account is active, and afterwards only where a legitimate business or legal obligation requires it. You may request deletion of your account and associated data by contacting us. Disconnecting a calendar removes the stored access and refresh tokens for that connection.

Security

Data is transmitted over TLS and stored with access controls limiting it to those who need it. Passwords are hashed, and credentials for connected accounts are encrypted at rest. No system is perfectly secure, but we work to protect information in proportion to its sensitivity.

Changes

We may update this policy from time to time. Material changes will be reflected in the effective date above, and where appropriate we will notify you directly.
